We are currently looking for an Executive Assistant who will support our executive team located in Geneva but who will also partner actively with the local team. You will be given important responsibilities from Day 1, build and develop your expertise in one of the best organizations in the world, and benefit from tools and resources that will help you enable our people and organizations to perform at their peak.

Your responsibilities will include:

  • Maintaining the calendars of the line managers in a way that each manager can perform efficiently on a day-to-day basis (no conflicts, priorities are understood, key counterparts are identified); organizing both regular and ad-hoc events for the leadership team in line with business plans;
  • Organizing business travels in an efficient way in line with internal policy; ensuring that expense reports are well documented and submitted in a timely manner;
  • Creating and maintaining Purchase Orders in Coupa; being the point of contact for supplier creation and validation;
  • Being a pillar of the team, enabling regular connects both internally and externally, and ensuring the right communication flow;
  • Collaborating with on-site service providers (catering, audio-visual team, reception) to ensure the best experience;
  • Maintaining the HR and IT systems on behalf of managers;

Qualifications

You are the right fit for us if you have:

  • Previous job experience in hospitality or office support would be an asset
  • Proficient computer skills, including MS Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Fluency in English; good knowledge of Polish would be nice to have
  • Excellent communication and interpersonal skills, with the ability to interact confidently and professionally at all levels
  • Strong attention to detail and accuracy, ensuring the quality of work delivered
  • Very good organizational and time management skills, with the ability to multitask and prioritize effectively
  • Proactive and self-motivated approach, with a strong sense of ownership and accountability
